Transitioning to a Remote Workforce

Published on July 28, 2020

In this series of Trending Topics, we are featuring the Keenan SafeSchools courses relating to the coronavirus pandemic to assist you with the changes you may encounter in these unusual times. Advancements in technology and 24/7 internet access have dramatically changed strategies for workforce management, providing flexible, remote working opportunities for some workplaces in times of crisis like the COVID-19 outbreak. The course on “Transitioning to a Remote Workforce” describes the factors that contribute to the need for a remote workforce, discusses the advantages and challenges of transitioning to a remote workforce environment, and lists best practices for successful remote workforce management.

Setting clear expectations and communicating effectively with team members are key components for managing remote team members and avoiding pitfalls commonly encountered with work-from-home arrangements. Because you and your team members are no longer physically together, it’s important to establish strong, reliable connections using technology. That doesn’t only mean having fast and dependable internet and wi-fi! You must also set up appropriate forums for your employees to interact personally with you and their team mates.

"Establish strong, reliable connections with remote workers – electronic and personal"

A routine, daily check-in with each remote employee is a best practice to maintain productivity and keep projects on track. This is a time to ensure both you and your employee are getting what they need to accomplish responsibilities, but it is also an opportunity to find out how they are adjusting to the new circumstances and address any challenges proactively. Help them with back up preparations for any technological issues, but also stay aware of their feelings and concerns.

Online team meetings and chat rooms will be needed to facilitate the work your team performs together. These meetings also provide social interaction that can help overcome a sense of isolation. Using a platform that allows both seeing and hearing each other is ideal, but make sure to establish clear rules of engagement for conducting online meetings efficiently. Be sure these virtual connections are places where employees can feel psychologically and emotionally safe.

Remember, the situation surrounding the COVID-19 pandemic is changing constantly, and the latest guidelines may vary state to state. Please refer to your local government resources, the Centers for Disease Control (CDC), and the World Health Organization (WHO) for the latest, up-to-date information. Contact your Keenan representative for access to these no-cost training courses.
